Event description

Smart City Forum is the most important congress in Poland devoted to the functioning and development of smart cities. It is a response to the transformation that is taking place on a global scale, concerning the construction and functioning of modern cities or entire regions. Experts from industries such as transport, construction, energy or data science together with decision-makers of government and local government administration from the national level will meet in a joint debate on the future of smart cities, which makes the Smart City Forum by far the most important initiative in Poland devoted to smart cities on such a scale and with such substantive facilities. In each of our forums, we present innovative solutions and answers to problems that work both in Poland and around the world.
The substantive aspect of the meeting is the result of the work of the Program Council under the Honorary Chairmanship of the Mayor of Wrocław, Jacek Sutryk, and Maciej Bluj, an expert in the field of Smart City solutions.
The spring edition of the congress will be unique – it will be time to sum up how we coped in times of the most significant economic and energy crisis. Together, in Wrocław, we have reviewed the solutions and strategies for the cities and their inhabitants. On this basis, we can define good practices for the future. The main points of interest for the incoming edition of the Smart City Forum will be, among others, the educational aspects in terms of innovations and the use of open data for the development planning of the cities. During the City Mayors and Administration’s Summit, we will talk about the economic situation from the local governments’ perspective and speak of the challenges facing the SC concept in the nearest future. Each local government official is aware of technology’s influence on the shape of our local communities. Therefore, Smart City is the most efficient dialogue platform for businesses and local governments.

During the Gala there will be a presentation of awards to the winners of the "Smart City Awards" competition, the purpose of which is to popularize personalities and ventures that significantly contribute to the promotion of solutions, aimed at building smart cities in Poland, and cities implementing this idea.

Statute

  1. Extract from §3 of the below Rules and Regulations:

    1. In case of resignation by April 9th, 2024 inclusive, Applicants are obligated to cover the cost of 400 PLN netto + VAT for each registered participant.

    2. In the event of resignation after April 9th, 2024, Applicants are obliged to cover 100% of the net value of the participation costs for each registered participant affected by the resignation, plus the applicable VAT.

     

    RULES AND REGULATIONS OF PARTICIPATION IN "18. Smart City Forum & Smart City Gala for public administration/startups" the "Congress and Gala", hereinafter referred to as the "Rules and Regulations"

     

    §1

    Rules of participation in the Congress and Gala

    1. Participation in the Congress is conditional upon submission of the declaration of participation in the name of Participants (in accordance with §2 section 5), which can be done by filling in a registration form available at the website www.mmcpolska.pl and making the payment of the participation fee within the set time limit.

    2. The cost of Congress participation for one participant is, depending on the date of registration:

      1. Price for business:
        1495 PLN + 23% VAT to 09.04.2024.
        1995 PLN + 23% VAT after 09.04.2024.

    3. The price of Congress participation includes: lectures and materials.

    4. The deadline for submission of declarations to participate is 28.05.2024.
       

    5. The declaration of participation delivery date is the date of its receipt at the Organizer's email address.

    6. The declaration of participation is valid and deemed confirmed at the moment of receipt of an email confirming declaration of participation along with a pro-forma invoice at the email address indicated by the Applicant.

    7. A declaration of participation submitted in accordance with the above sections is a binding agreement and is tantamount to becoming familiar with these Rules and Regulations and approval of the conditions included herein, including payment for submission of the declaration to participate.

    8. Participation in the Congress includes:
      1. the consolidation of the Participants' image in the form of analog or digital photography, internet streaming, videograms or audiovisual works during the Event;
      2. the processing of personal information in accordance with the Personal Data Protection Act of 10 May 2018 (Journal of Laws of 2018 p.1000) and the General Data Protection Regulation (GDPR), specifically including identifying badges worn by the Participant's in a visible place including the information: first name, surname and company

    §2

    General provisions

    1. "18. Smart City Forum & Smart City Gala for public administration/startups" (hereinafter referred to as the: "Congress and Gala”) is organized by MM Conferences S. A. with its registered office in Warsaw (00-193), at ul. Stawki 2 (hereinafter referred to as the "Organizer").

    2. The Congress is held at the place and time indicated by the Organizer.
      These Rules and Regulations constitute an integral part of the declaration of participation which is made by completing the registration form available at the website referred to in §1 section 1.

    3. "Applicant” is an entity which, by filling in the forms, submits a declaration of participation in the name of a participant/participants to the Congress and makes payment on the basis of the received pro-forma invoice.

    4. "Participant” is a person/persons, as declared by the Applicant, who has the right to participate in the Congress.

    5. The Organizer reserves the right to select declarations of participation and in particular to reject declarations submitted by entities that conduct activity competitive to the Organizer.

    6. The Organizer reserves its right to modify the program, venue of the Congress and/or hosts.


    §3
    Payment and resignation

     

    1. In accordance with the received pro-forma invoice, payment should be made within 7 (seven) days of receipt thereof, but before the day of the Congress, if the declaration of participation relates thereto, to the bank account indicated therein.

    2. Payment may be made in PLN (Polish zloty) at the average exchange rate taken from table A of the National Bank of Poland as of the date of the declaration of participation. In order to make payment in PLN, select this option by pressing button “change currency” in basket.
      Resignation from participation in the Congress, if it is organized, may be made at any time subject to the sections below.

    3. Resignation from participation in the Congress, if it is organized, should be made in writing, by first class post, to the address of the registered office of the Organizer indicated in §2 section 1.

    4. The "Resignation Submission Date" shall be the postmark date.

    5. In case of resignation by April 9th, 2024 inclusive, Applicants are obligated to cover the cost of 400 PLN netto + VAT for each registered participant.

    6. In the event of resignation after April 9th, 2024, Applicants are obliged to cover 100% of the net value of the participation costs for each registered participant affected by the resignation, plus the applicable VAT.

    7. If, despite submitting the resignation, the Participant/Participants attends/attend the Congress, if it is organized (in a situation when the Congress is held after the Resignation Submission Date and before the date when resignation is delivered to the Organizer), the Applicant is obligated to pay the full amount for the participation of persons who did not attend the Congress.

    8. If the Applicant is a natural person and the declaration of participation does not relate to business activity conducted by the person, resignation may be submitted within 14 days of the declaration date, in writing, by first class post, to the address of the registered office of the Organizer indicated in §1 section 1.

    9. If, prior to the expiry of the 14-day period for resignation and before the Resignation Submission Date referred to in sections 3 and 4 above, the Congress is held, if it is organized, and the declaration of participation relates to participation therein, the Applicant shall be charged the full cost, as per the received pro-forma invoice.

    10. Failure to submit resignation from participation when the Congress is not attended, if it is organized and the declaration of participation relates thereto, will cause the full cost of participation to be charged.

    11. A lack of payment is not synonymous with resigning from participation.

    12. The Congress, if it is organized and the declaration of participation relates to participation therein, may be attended by another person instead of the Participant, provided that personal data of the substitute person be sent by email within 7 (seven) days before the start of the Congress.
